AI-Powered Transformation and Optimization

AI that fits.

From a five-person shop to a government contractor: the right tools, set up around how you already work. Less grind for your team, fewer mistakes, and knowledge that stops living in one person's head, so you can take on more without adding headcount.

01 / Statistics
5.6hrs

Back every week, per person, once AI is set up around real work.

AI has finally gotten good enough, and cheap enough, for a small team to benefit from it. The piece most organizations are missing is simply someone to connect it to the work they already do. That part is very learnable, and it usually takes less time than people expect.

89%

of small businesses are already using AI in some form, up from 36% in 2023. If you are just starting, you are in good company.

U.S. Chamber of Commerce Small Business Survey, 2026
77%

of those who haven't started say they simply haven't seen how it would apply to their work yet. That is a translation gap, and it is easy to close.

Small business AI adoption research, 2026
58%

of small businesses using AI well save 20 or more hours a month. The difference is how it was set up, not how much they spent.

02 / The Solution

Four ways to start.

No long reports. No new software to learn from scratch. We look at the work your team already does, find the parts a computer can handle, and set it up with you. Start small, add more later.

01

Find out what is worth doing

We look at how the days actually go: the emails, the spreadsheets, the follow-ups, the reports nobody enjoys writing. Then you get a plain list of what AI can help with, what it cannot, and what to do first. No pressure to do all of it, and no obligation to do any of it.

02

Set it up and connect it

The hands-on part. Tools get set up and connected to what you already use: your email, your customer list, your spreadsheets, your invoices. Everything sits on well-known platforms, so your own people can keep it running.

03

Take the repetitive work off their plate

When your team does the same thing over and over, the same email, the same spreadsheet, the same monthly report, that work can be handled for them. You also get a simple view of your numbers, so nobody has to dig for them.

04

Get clear on where you are going

Sometimes the real issue is not technology. If the team is pulling in different directions or the plan is fuzzy, that gets sorted out first. Planning sessions, leadership support, and a second opinion on the hard calls.

Not sure where you fit?

Start with a free 15-minute call. Say what is taking too long, and you will get a straight answer on whether AI helps, or whether something else would help more.

03 / The Steps

Get started with four steps.

Most projects run 30 to 90 days. You will know what is happening at every stage, and everything built belongs to you.

Assess

A conversation about how the work really gets done, where the time disappears, and what has already been tried.

Map

A short plan in plain English: what to fix first, what it costs, and what you get back. You decide what moves forward.

Build

It gets set up and connected. You watch it work on your real, everyday tasks before anyone calls it finished.

Hand Off

Training, simple written instructions, and support afterward. The goal is your team running it comfortably on their own.

04 / Who We Serve

Built for the people running things.

If you do not have a technology department and do not want one, this was built for you.

Small businesses and owner-operators

Two to fifty people. Service businesses, professional practices, trades, retail, and nonprofits. You are busy, the tools keep piling up, and nobody has time to work out which ones actually matter.

Veteran and small government contractors

Small firms competing against companies with ten times the back office. This is how you close that gap on proposals, tracking requirements, and reporting. Available in English and Spanish.

Agencies and mission-driven organizations

Public sector teams and nonprofits that need to adopt AI carefully, with clear records, sensible rules, and an eye on the requirements they answer to.

07 / About
Juan R. Cuellar, Founder of Apto Strategic Consulting

Twenty years of hard calls. Now pointed at AI.

Apto Strategic Consulting is led by Juan R. Cuellar. Army veteran. Immigrant. Educator. Two decades leading in places where a bad decision had real consequences, and the last several years building with AI, hands on the keyboard.

No products are resold here and no commissions are collected, so when AI is the wrong answer, you will hear that. Most of what organizations need is not exotic. It is the ordinary things done well: the right tool, set up properly, connected to what you already use, with someone who took the time to teach your team.

Apto comes from the Latin aptus: fit, capable, suited for purpose. Today it also names the work: AI-Powered Transformation and Optimization.
